Privacy Policy

TeamSort collects as little as it can while still running live polls, paid plans and the analytics that tell us what to fix. This page says exactly what that is, in plain language.

What we collect

  • Poll content you create: the title, instructions, items and any images you attach, plus the rankings submitted by voters.
  • An anonymous id stored in your browser's local storage (teamsort-demo-anonymous-id). It identifies your ballot and the polls you created without an account, and is sent to our servers with your votes, with image uploads (as an X-Anonymous-Id header) and with some account requests.
  • Your email address if you sign in, via a magic link or Google sign-in. Email is the only account key — there are no passwords, and we do not receive your Google password.
  • If you buy TeamSort Pro: your subscription status and a Stripe customer id. Card details go directly to Stripe and never reach our servers.
  • Product analytics, including session recording: page views, clicks and other events, session replays, optional surveys and page-performance timings, through PostHog, plus page-view analytics through Google Analytics. There is currently no consent banner; if you would rather not be recorded, use a content blocker or contact us.
  • Request logs held by our hosting provider, Cloudflare, which include IP addresses and request metadata for a limited time.

Cookies and browser storage

  • auth_token — an httpOnly cookie that keeps you signed in for 30 days.
  • login_method — a five-minute cookie set once after sign-in so we can attribute the login method in analytics.
  • Analytics identifiers set by PostHog and Google Analytics.
  • Local storage: your anonymous id and a list of polls you recently opened, so the app can show them to you again.

The public API

Calls to our poll-generation API (/api/v1/polls) send the prompt you provide to our AI provider, Anthropic, through Cloudflare's AI Gateway, to draft a title and items. We log the caller's IP address, the length of the prompt and the draft id — not the prompt text. The generated draft is stored for seven days so the review link works, then deleted. API responses are marked Cache-Control: no-store, private.

How long we keep things

  • Free polls close 24 hours after they are created. When a poll expires, every individual ranking is deleted from the live store and only the computed group result is archived, so the results link keeps working.
  • Pro polls are permanent until you ask us to remove them.
  • Images attached to poll items are kept even after a poll expires, because archived results and results emails reference them.
  • Drafts created through the public API expire after seven days.
  • Account data (your email, subscription status) is kept until you ask us to delete it.

Email we send

Transactional email — magic links, poll results for people who asked to be notified, and notices about a Pro Pass — is sent through SendGrid. The occasional marketing offer honours the unsubscribe link in the message and one-click unsubscribe in your mail client, and is never sent to addresses that have opted out.

Who else sees data

  • Cloudflare — hosting, storage and request logs.
  • Stripe — payments and subscription management.
  • SendGrid — outbound email.
  • PostHog and Google Analytics — product analytics and session recording.
  • Anthropic, via Cloudflare AI Gateway — drafting polls from API prompts.
  • Google — only if you choose to sign in with Google.

We do not sell personal data and we do not share poll content with anyone except the people you share the link with. Anyone with a poll link can open it, so treat the link as the access control.

Your choices

  • Ask for a copy of your data, or have it deleted, by emailing rob@teamsort.world from the address you signed in with.
  • Unsubscribe from marketing email with the link in any offer message.
  • Clear your browser's local storage to reset your anonymous id; the polls you created anonymously will no longer be linked to you.

Children

TeamSort is not directed at children under 13 and we do not knowingly collect personal information from them.
